Information for authors - preparation and submission of accepted final papers

Conference papers will be indexed for IEEE Xplore and EI Compendex only if all three of the following requirements are satisfied:
  • Submit all publication materials - the author must submit the final version of manuscript and IEEE Copyright Form before the due submission deadline (March 25, 2013).
  • Pay at least one full registration fee - An author must pay a full registration fee before April 30, 2013. NOTE: Student registration fee does not cover the paper publication. Each full registration entitles an author to publish one (1) paper. Start your registration.
  • Present the work at the conference.
Papers that do not meet all three requirements will be removed after the conference, and will not be indexed for either IEEEXplore or EI Compendex. No registration refund will be given in any case.
Requirements for final papers - final deadline: 25.3.2013
  • The author must submit the final version of manuscript and IEEE Copyright Form before the due submission deadline (March 25, 2013).
  • Signed IEEE Copyright Form has to be submitted along with the manuscript
  • The CPE 2013 organizing committee will check if authors have complied with reviewers request, in case this is not true the paper will be rejected.
  • Only documents in PDF format are allowed with file size limited to 2 MB. IEEE is very strict about the requirements for converting application files or PostScript files to full-text PDF.
  • Papers should be prepared according to the IEEE double-column format for Conference Proceedings Sponsored by IEEE
  • Main specifications are as follows:
    - Margins: The papers must strictly take the following margins: Paper Size A4, Top Margin 19 mm, Bottom Margin 40 mm, Side Margin 15 mm.
    - Papers should NOT have: Page Numbers, Headers, Footers.
    - Page limit: six (6) pages for regular papers. Over-length papers (more than 6 pages) will not be accepted. Illustrations and references are also counted in the pages.
  • IEEE is very strict about the requirements for converting application files or PostScript files to full-text PDF for inclusion in IEEE Xplore®. Please follow the detailed instructions in IEEE PDF File Preparation Guide for IEEE Xplore that describes the essential steps in distilling PDFs that meet the IEEE requirements.
    The most important issue that every author should pay attention to is to make sure that all the fonts used in papers are EMBEDDED and SUBSETTED. Failure to embed and subset fonts is the biggest obstacle to PDF compliance with IEEE Xplore®.
    Papers failing to meet the IEEE Xplore® PDF requirements may be rejected.
  • To avoid difficulties in pdf preparation you can use PDF eXpress™ system:

    Creating your IEEE Xplore® compatible PDF file (PDF-eXpress)

    Using PDF eXpress system you can perform two alternative options:

    • if a PDF is submitted, it will be checked for IEEE Xplore®-compatibility
    • if a source file is submitted, it will be converted to IEEE Xplore-compatible PDF

    Go to IEEE PDF eXpress™ website, and:

    1. Create a IEEE PDF eXpress™ account, entering basic contact information; gets confirmation of account creation email.
    2. Upload a PDF for Checking or source file(s) for Conversion; get email confirmation of file receipt.
    3. Submitted PDFs are Checked for IEEE Xplore®-compatibility; source file(s) are Converted to IEEE Xplore-compatible PDFs.
      • If a PDF is submitted: you will receive an email stating that PDF Passed or Failed the Check. If the PDF fails, a PDF Check report is attached to the email. Author goes to account and clicks "Understanding the PDF Check Report" for solutions.
      • If source is submitted: you will receive the IEEE PDF eXpress™-generated PDF as an attachment, and through your IEEE PDF eXpress™ account. Review PDF to ensure that it views on screen and prints as you intended.
    4. If necessary, revisions may be submitted (PDF or source); return to Step 2.
    5. When you have an acceptable, IEEE Xplore-compatible PDF, submit this final PDF to the conference, using the IEEE-IES conference Submission System.
      Conference ID for PDF eXpress use is CPE2013x. This system will be available until the full paper submission deadline (March 25, 2013). Detailed information is shown in the IEEE PDF eXpress™ website.
